Job Overview

We are seeking a detail-oriented Billing Support Executive (Air & Sea Freight) to join our logistics and finance team in Penang. This role is responsible for the preparation, verification, and processing of billing and invoicing for both air and sea freight operations, ensuring accuracy, timeliness, and compliance with company and client requirements.

Key Responsibilities

  • Prepare, verify, and issue invoices for air and sea freight shipments
  • Ensure billing accuracy by matching details with supporting documents (e.g. packing lists, shipping instructions, delivery orders, and freight forwarder invoices)
  • Coordinate closely with logistics and operations teams to ensure accurate billing data and timely invoice submission
  • Reconcile freight charges, credit notes, and payment records within internal accounting systems
  • Maintain proper documentation and filing for audit and record-keeping purposes
  • Monitor outstanding payments and follow up with customers or internal stakeholders when required
  • Generate billing reports, cost summaries, and monthly statements
  • Investigate and resolve billing discrepancies, providing clarification to clients or vendors
  • Support continuous process improvements to enhance billing efficiency and accuracy
Qualifications
  • Diploma or Bachelor’s degree in Accounting, Finance, Logistics, or a related field
  • 1–3 years of relevant experience in billing, accounting, or logistics administration (preferably in air/sea freight)
  • Familiarity with freight billing, shipping documentation, and cost reconciliation processes
  • Proficiency in Microsoft Office (especially Excel) and accounting/ERP systems
  • Strong attention to detail with high accuracy and good organizational skills
  • Good communication skills in English and Bahasa Malaysia
Preferred Qualifications
  • Experience working with freight forwarders, logistics providers, or shipping companies
  • Knowledge of Incoterms, HS Codes, and freight charge structures
  • Ability to work independently and manage multiple tasks under tight deadlines
Working Conditions
  • Based in Penang office
  • Standard office hours with occasional overtime during peak billing periods or month-end closing
