Title: CPT-11197 Assistant Project Manager (Construction Project Coordination)

Independent Contractor – Business Support VA/Senior Level (Remote).

Overview

20four7VA is seeking offshore independent contractors to deliver remote services to clients worldwide, with a primary focus on developed markets such as the United States, the United Kingdom, Canada, and Australia.

We are seeking an experienced Business Support Virtual Assistant to serve as an Assistant Project Manager, supporting multiple active commercial construction projects. This is a fully remote administrative and coordination role responsible for keeping project documentation, compliance records, project controls, and estimating support organized and up to date. The ideal candidate is highly detail-oriented, proactive, and comfortable working in a fast-paced construction environment while managing several projects simultaneously. This position does not involve field work or on-site project management.

The objective of each engagement is to assist the client in improving business efficiency, enhancing service delivery, or supporting operational functions through high-quality, task-specific services rendered by a qualified contractor.

Scope of Services

Contractors will be required to provide services that align with the following client tasks:

Compliance and Document Control

  • Manage Capital Improvement Certificates (CICs) and applicable tax-exempt documentation
  • Track subcontractor Certificates of Insurance (COIs)
  • Monitor COI expiration dates and proactively follow up with subcontractors
  • Maintain permit logs and monitor permit expiration dates
  • Collect and organize permits from subcontractors and internal teams

Estimating and Bid Support

  • Assist with bid leveling activities
  • Prepare and distribute subcontractor scope sheets
  • Track returned scope sheets and proposal updates
  • Maintain Bid Buy Sheets and project budgets
  • Assist with material takeoffs and scope verification
  • Provide light estimating support as directed

Project Controls (Procore)

  • Manage Requests for Information (RFIs) within Procore
  • Track and update Change Orders
  • Maintain accurate project directories
  • Review invoices and preliminary payment applications for accuracy
  • Identify discrepancies for Project Management review

Procurement and Administrative Support

  • Coordinate printing and delivery of construction documents
  • Order miscellaneous project supplies, including PPE, office supplies, protection materials, and field consumables
  • Coordinate document distribution for project teams

Punch List and Project Closeout

  • Track and manage punch list completion
  • Coordinate closeout documentation
  • Assemble warranties, O&M manuals, as-built drawings, and other turnover documentation

Records Management

  • Maintain organized project files in OneDrive
  • Ensure consistent document naming conventions
  • Keep project records accurate and current
  • Support overall project documentation quality


    Each engagement is based on a defined scope of work and is governed by an independent contractor agreement. Services must be performed professionally, with adherence to any timelines, guidelines, and deliverables agreed upon in writing.


    Skills

    The Contractor must demonstrate proficiency in the following, depending on the Client’s requirements:

    Qualifications:

    • Minimum of 2 years of experience in construction project coordination or project administration
    • Previous experience supporting a General Contractor or commercial construction company is preferred
    • Experience using Procore is strongly preferred
    • Strong understanding of construction documentation and project workflows
    • Experience maintaining compliance documentation such as COIs and permits
    • Familiarity with estimating support, bid documentation, and material takeoffs
    • Excellent written and verbal English communication skills
    • Highly organized with exceptional attention to detail
    • Ability to manage multiple concurrent projects and shifting priorities
    • Reliable internet connection and a dedicated remote work environment

    Software Knowledge and Required Tools:

    • Construction Management: Procore
    • Microsoft Applications: Outlook, Teams, Planner, OneDrive
    • Documentation: Microsoft Office 365
    • File Management: OneDrive
    • Communication: Email, Microsoft Teams


      Work Schedule

      • Contracted Hours per Week: 40 Hours
      • Scheduled Working Days: Monday through Friday (unless otherwise mutually agreed in writing)
      • Daily Working Time: 8 AM to 5 PM Eastern Time.

      Note: The Company will make reasonable efforts to align the Assigned VA’s schedule with the Client’s preferred hours as set forth above. However, availability may vary based on time zones, capacity, and the contracted hours set in this SOW. Any changes must be mutually agreed to in writing through a revised SOW.

      Terms of Engagement

      • Contractors will operate under a Master Services Agreement and a Statement of Work
      • This is not an offer of employment; contractors are not employees of 20four7VA or any client
      • All compensation is processed through 20four7VA according to the terms of the engagement
