We’re a Tampa Florida-based real estate brokerage hiring an experienced Real Estate Executive Assistant / Transaction Coordinator to support our broker-owner remotely. This role is for someone who already understands real estate transactions and can work independently with minimal oversight.

This is not an entry-level assistant role. Prior real estate experience is required.

Responsibilities

  • Manage executive scheduling and inbox organization
  • Coordinate transactions from contract to close
  • Prepare and organize listing and transaction documents
  • Communicate with clients, agents, lenders, and title companies
  • Track deadlines, compliance items, and transaction milestones
  • Maintain CRM accuracy and transaction records

Requirements (Read Carefully)

  • 2+ years of real estate experience as an Executive Assistant, Transaction Coordinator, or Virtual Assistant
  • Strong understanding of contracts, timelines, and real estate workflows
  • Comfortable with CRMs, Dotloop, Google Workspace, and MLS systems
  • Must have a valid Florida Real Estate License and be able to work as a 1099 contractor with reliable availability
  • Detail-oriented, responsive, and deadline-driven
