Job Overview
We are seeking aa Administrative Assistant who will also work with accounts receivables to support our team. The ideal candidate will possess exceptional clerical skills, strong attention to detail, and the ability to manage multiple tasks efficiently in a fast-paced environment.

Responsibilities

  • Answers and direct phone calls with professionalism, demonstrating excellent phone etiquette. Greets visitors
  • Performs clerical duties including filing, data entry, and maintaining organized office records.
  • Prepares accounting reports and creates related documents.
  • Generates AIA billing for customers that require more than an invoice
  • Identifies delinquent accounts. Reviews past due accounts and collections with management.
  • Reconciles and reports discrepancies found in the records.
  • Reviews contracts and mark ups

Skills

  • Proficient in Outlook Calendar and other Microsoft Office applications, including Excel
  • Math aptitude
  • Strong clerical skills with an emphasis on organization and attention to detail.
  • Excellent phone etiquette and communication skills.
  • Experience in office management or similar administrative roles.
  • Familiarity with office equipment and phone systems.
  • High level of computer literacy for efficient task execution.
  • Ability to proofread documents effectively to ensure quality standards are met.
  • Maturity to handle confidential information in a professional manner
