Administrative Assistant

Plains All American is an industry-leading transportation and midstream provider specializing in transportation, storage, processing and marketing solutions for crude oil and natural gas liquids (NGLs). We own an extensive network of pipeline transportation, terminalling, storage and gathering assets in key crude oil and NGL producing basins and transportation corridors and at major market hubs in the United States and Canada. On average, Plains handles more than 6 million barrels per day of crude oil and NGL in its Transportation segment. The company is headquartered in Houston, Texas.

We are looking for highly-motivated individuals who enjoy working as part of a team in a dynamic and entrepreneurial work environment.

This position will perform a wide range of administrative and general clerical duties in support of the operations group. The ideal candidate will have a diverse skill set and ability to be flexible and work under pressure while disposing of matters of a routine nature under limited supervision to conserve Managers' time.

Responsibilities :

  • Prepare and file reports generated through the office dealing with budget forecasting, daily / weekly volume reports, overtime reports and any other reports or correspondence as required by the Corporate Office and / or Managers and Supervisors.
  • Order equipment and supplies as needed.
  • Receive and process correspondence going in and out of the office.
  • Code and process invoices in the company bill-paying system.
  • Organize and maintain all filing of correspondence, reporting and inspections.
  • Maintain handbooks and procedures regarding safety and regulations and assist the Manager with compliance assurance.
  • Ensure all timesheets are completed and reported accurately according to Company policy.
  • Serve as receptionist when needed and handle and / or route incoming telephone calls.
  • Schedule employee training and assist with travel details for employees.
  • Perform various duties to maintain the Company's building, facilities and equipment appearance as neat and orderly.
  • Provide assistance with any other tasks assigned.

Qualifications :

  • Certificate in Office Administration or equivalent business diploma preferred;
  • 24 years' administrative experience preferred;
  • Proficient in Microsoft applications including Word, Excel, Outlook, SharePoint, PowerPoint;
  • Self-starter with a strong sense of urgency and responsibility;
  • Able to work with minimal supervision;
  • Excellent written and verbal communication skills;
  • Oil and gas industry experience preferred;
  • Able to contribute to and thrive in a busy team environment;
  • Excellent organizational and time management skills;
  • Demonstrate initiative and strong work ethic;
  • Permanent residency within 50 miles of the Cushing office;
  • Compliance with the company's Drug and Alcohol Policy including pre-employment testing;
  • Valid driver's license with a clean abstract; and
  • Cleared criminal history (background) and satisfactory reference checks.
